Approval Workflow

An approval workflow is the structured process by which social media content is reviewed and signed off before publishing. It defines who reviews, in what order, and what must happen before a post can be scheduled.

An approval workflow governs how content moves from draft to published. Without a defined workflow, content gets blocked in email chains, published without review, or delayed indefinitely while waiting for sign-off that never comes.

Why approval workflows matter

For any team where more than one person is involved in social media, or where an external client or stakeholder must sign off before publishing, an approval workflow is the operational backbone that prevents errors, off-brand content, and miscommunication.

The approval chain

A standard approval chain for an agency or in-house team:

  1. Creator drafts the content
  2. Team lead / senior reviews for tone, accuracy, and brand fit
  3. Client / stakeholder approves or requests revisions
  4. Scheduler publishes once final approval is received

More complex chains add:

  • Legal review for financial services, healthcare, or regulated sectors
  • Translation/localisation review for multi-market campaigns
  • Executive sign-off for major announcements

Types of approval models

Sequential approval: Each approver sees the content in order. Legal reviews before the client sees it. Slower but provides a clean chain of record.

Parallel approval: Multiple approvers review simultaneously. Faster for simple content where reviews do not depend on each other.

One-click approval: Used for high-volume, low-stakes content (routine posts, evergreen content). A single approver reviews a batch and approves all-or-nothing.

The approval link is the key feature for agencies: clients receive a link to review upcoming content without needing a tool login. Planable pioneered this; most premium tools now offer a version.

Approval bottlenecks to avoid

No turnaround time defined. “Review when you can” means content sits in the approval queue for days. Define: approval requests must be actioned within 24 business hours.

Too many approvers. Every additional approver in a sequential chain adds a potential delay. Limit the chain to the minimum number of approvers needed.

Revision loops without version control. Without a clear record of which version was approved, confusion about “the latest version” causes re-work. Use a tool that tracks revision history.
